About the role
We are looking for an Office Manager for our office in Mönchengladbach, responsible for overseeing day-to-day clerical tasks at our office and supporting our Board Members in their work. As a member of our local team, you will closely cooperate with our German Management Board to successfully build the positive image of our Company within the DACH region.
Our expectations
- Proven experience as an office assistant (at least 1 year).
- University degree (management, administration or related degree).
- Experience in cooperation with clients and suppliers.
- Skills in editing and creating presentations, letters and information materials using MS Office and Google tools.
- Knowledge of administration procedures and awareness of the office management cost.
- Interpersonal and communication skills, proactive and assertive approach.
- Strong organizational, analytical, and time management abilities, with a self-reliant and responsible mindset.
- Fluent communication in English and German (min. level B2).
Nice to have
- Knowledge of Polish at a communicative level.
Main responsibilities
Cooperating with our Board Members.
- Helping with the organization of business meetings.
- Managing our appointments diary.
- Taking the minutes of meetings.
Enhanced Administrative and Organizational Support
- Be responsible for daily office management.
- Managing tasks autonomously to maintain operational continuity in the Office Manager’s absence.
- Handle incoming and outgoing post and deliveries.
- Provide administrative support for business trips, reservations, and general travel arrangements.
- Manage payments, including salaries, invoices, and other financial transactions.
- Serve clients and delegate inquiries to relevant staff members.
- Manage the flow of information and documents within the office.
Editing and creating content, including
- Prepare reports, business analyses, and presentations.
- Preparing documents and presentations.
- Have a clear understanding of the company’s basic documentation needs.
- Organize and structure company documentation, ensuring accuracy and accessibility.
Other tasks
- Cooperating with the accounting department.
- Acting as a liaison between the accounting department and tax adviser to ensure seamless.
